Segments and CRM agents

A segment is a group of creators that we keep up to date from rules you set, such as sample status, sales (GMV), or posting. A CRM agent is an outreach agent that targets a segment: it messages the creators in it, then each new creator who joins.
Why use it
You want to reach creators at the right moment: when their sample ships, when it has arrived but they haven't posted, or when they've gone quiet. A segment keeps track of who is at each stage, and a CRM agent messages each creator as they join it.
Where to find it
- Affiliate CRM > Segments shows Euka's ready-made segments under Your Affiliate Funnel and Re-engage Creators, and the segments you build under Custom Segments. View opens a segment's conditions, its creators, and the agents that target it.
- CRM agents are on the CRM Agents tab of Outreach > Outreach Agents. That tab also lists the agents that target a list and send only a DM, since they work on your CRM too. See Outreach agents.
Who can use it
Segments are on every plan. You need an active plan to start a CRM agent, and how many CRM messages you can send depends on the plan. See Plans and limits.

A section's button starts a new CRM agent for that segment, with a suggested agent type and message that you can change before you start it. You can't edit or delete these segments.
Creators with Samples in Shipment includes creators with samples marked Shipped. Samples marked Ready to Ship are not included.
A Spark Code, as in Ask for Spark Codes, is a code from the creator that lets you run their video as an ad.
How to build a segment
- On Affiliate CRM > Segments, click Create New Segment.
- Enter a Segment Name.
- Click Filter, then pick a template, or Custom Filter to choose your own conditions. Add more filters the same way.
- Check Creator Preview, which lists the creators who match right now.
- Click Save Segment. We work out who is in it straight away, then offer to Create agent for it.
To change a segment later, open the ⋮ menu in its row under Custom Segments and choose Edit or Delete.

Each template can cover all your products and agents, or only the products or agents you pick.
For posting reminders, use Content Pending For N Days. It holds creators who have been in Content Pending since the date you choose, 7 days ago to start. A preset such as 2 weeks ago moves with the calendar, but a date you pick on the calendar stays fixed.
Custom filters
A Custom Filter uses conditions from these groups:
- Filter By: product and agent.
- Sample Status.
- Creator Performance, such as GMV for My Store and Live GMV (Last 30 days).
- Content, such as Video Count, Last Video Posted Date, and Has Spark Code, which is Yes for creators who have given you a Spark Code on one of their videos for your Shop, and No for the rest. See Spark Codes.
- Creator Info: tag, language, and follower count.
- Engagement: messaged, replied, and showcasing, which means the creator lists your products on their TikTok profile.
Conditions combine like this:
- Inside one custom filter, choose and or or. The choice applies to every condition in that filter.
- A segment can hold several filters. A creator must match all of them.
When a product or agent doesn't narrow a filter
Product and Agent narrow the other conditions in the same filter, but only the ones they can apply to.
- Product narrows the sample status conditions, the content conditions Posted Video, Video Count, Video Revenue, Last Video Posted Date, and Posted During Date Range, and Showcasing.
- Agent narrows all of those, plus Messaged, Replied, Messaged Date, and Replied Date.
- Neither narrows a condition that isn't about one product or one agent, such as GMV for My Store, Total Creator GMV (Last 30 days), Live GMV (Last 30 days), Livestream Count, Has Spark Code, Tag, Follower Count, and Language.
When a filter's Product or Agent narrows none of the other conditions beside it, we leave it out instead of returning nobody, and the filter says so: "The selected product isn't applied." The message names the conditions it doesn't narrow and offers the conditions it would, so you can add one in a click. A Product or Agent sitting alone in a filter is left as it is, because that filter isn't finished yet.
How to start a CRM agent
Any agent type can target a segment. See Outreach agents. You can start one in three ways:
- Click the button in one of Euka's segment sections.
- Click New Agent on a custom segment.
- Choose Segments while you create an agent.
To skip the creators already in the segment, tick Send to creators who have entered segment after a specific time. Its Start time is now until you change it, so the agent starts with 0 creators and waits for new ones.
How CRM agents work
- A CRM agent messages everyone already in its segments, then creators as they join. It doesn't stop on its own, and it messages each creator once, even if they leave the segment and come back.
- Follow-ups stop when the creator replies or leaves the segment.
- What CRM agents send counts toward your plan's CRM message allowance, not the regular outreach allowance. See Plans and limits. When it runs out, we stop your CRM agents and email you.
- For several follow-ups with waits, or different messages for creators who did and didn't post, use Sequences.
- Any agent can also leave out the creators in a segment. See Who an agent contacts.
Rules and limits
We recalculate each segment on its own schedule:

- Euka's own segments refresh at least every 3 days.
- Last Refreshed in the Custom Segments table shows when each segment was last recalculated. When you start a CRM agent, its segments' next refresh moves up, so it starts from fresh members.
- Create New Segment stays grayed out until we've refreshed your store's segments for the first time.
- You can't delete a segment while an agent that isn't archived targets it, even a stopped one, because the agent reads the segment every time it runs.
What we don't control
Sample statuses such as Shipped, Content Pending, and Content Unfulfilled come from TikTok Shop, so segments built on them follow TikTok's data. When your Shop reaches TikTok's weekly outreach limit, we stop your other agents, but CRM agents keep running. See Outreach limits: TikTok and your plan.
When something goes wrong
- CRM limit reached when you start an agent: your brand has used its CRM messages for this billing cycle. Wait for the next cycle, or move to Growth or Autopilot.
- This segment is in use when you delete a segment: agents still target it.
- This is a legacy segment: it's an older kind of segment. Agents can still use it, but it can't be edited. To change the rules, build a new segment.
FAQs
How often do segments refresh?
It depends on the segment: about every 3 hours for sample-status segments, daily while a running agent uses one, and less often for older segments that no agent uses.
Why did my new CRM agent start with 0 creators?
Send to creators who have entered segment after a specific time is ticked, and its start time defaults to the moment you ticked it. Untick it, or pick an earlier start time, to include creators already in the segment.
What's the difference between a segment and a list?
A list holds the creators you put in it and changes only when you change it. A segment is rebuilt from its rules, so creators join and leave on their own. See Creators and lists.
Why can't I delete a segment?
An agent still targets it. Click View on the segment to see which agents, remove the segment from them or archive them, then delete it. Euka's own segments can't be deleted.
Why didn't my CRM agent message a creator in the segment?
The agent messages each creator only once, and it skips creators on your excluded lists and in any list or segment the agent excludes. It also works from the segment as of its last refresh, so a creator who has only just qualified is picked up after the next one. See Who an agent contacts.
